Title: Administrative Co-ordinator

Reports to: Head of Office & Business Support Manager


For over 30 years Downing have developed, built and managed bespoke residential and commercial schemes for a range of blue-chip companies, central government departments and leading universities.  Following a period of significant growth, we are looking for an enthusiastic Administrative Co-ordinator to join our Administration Support team based at our Head Office in Liverpool


The successful candidate will have strong administrative skills, be experienced in supporting busy and hands-on teams.  We are looking for a candidate with excellent attention to detail and strong communication skills, as well as the ability to use multiple IT systems.


Key Responsibilities:


  • Carry out general administrative tasks supporting the online booking processes including updating data bases and CRM systems
  • Communicate with tenants and clients across multiple platforms e.g. telephone, email, live chat etc
  • Process booking applications on the online booking system
  • Assist with tenant queries through application process, offering solutions and problem-solving
  • Relay information in regards to bookings and service options available
  • Develop and maintain strong relationships with both customers and internal teams
  • Liaise with various internal and external teams and departments
  • Actively offer fresh ideas to improve the overall customer experience
  • Generate reports as and when requested
  • Routine administration duties including filing, scanning, copying, printing etc.


Role Requirements:


  • Previous experience of working within an administrative role is essential
  • Strong IT knowledge including familiarity with CRM systems, mail merge and Excel including VLOOKUP, pivots etc.
  • 5 GCSE’s or equivalent will be preferred
  • Consider yourself self-motivated whilst demonstrating skills to build team rapport
  • Excellent written and oral communication and organisational skills
  • Previous experience within Sales and Lettings would be desirable
  • Ability to demonstrate a high quality of current product and market knowledge
  • Previous experience with Kinetic (Kx) Student Accommodation software and the CRM Act software or similar, is an advantage
  • Occasional travel between Downing UK sites when required
  • Ability to speak additional languages, specifically Chinese or Mandarin, would be  advantageous


Hours of Work:


  • 9am – 5.30 pm Monday to Friday
  • Overtime may be necessary to support the business during busy periods
