Role:  Facility Management – Administration Coordinator

Reports to: Head of Property Management

Location: Liverpool

Following a period of significant growth, we are looking for an enthusiastic Property Management Administrator Co-Ordinator to join our fast-paced Property team based at our modern Head Office in Liverpool City Centre.


The successful candidate will have strong administrative skills, and be experienced in supporting busy and hands-on teams.  They will be responsible for co-ordinating and delegating the team’s administrative output and managing relevant deadlines and priorities. We are looking for a candidate with excellent attention to detail and strong communication skills.


Key Responsibilities:

Providing direct support for Downing’s Facility Managers, whilst also co-ordinating the work of the team’s Facility Management Assistants:

  • Assisting with the preparation of annual budgets, quarterly forecasts and end of year summaries
  • Sourcing and placing orders for property management services, consumables and reactive works
  • Co-ordinating periodic & ad-hoc contractor site visits
  • Acting as main contractor point of contact, managing reports, remedial works and certifications
  • Liaise with Health & Safety providers
  • Assisting with web-based property Health & Safety compliancy systems
  • Any other duties as reasonably required from time to time
